Creating a Purchase Order

This guide walks you through creating and submitting a purchase order to record planned purchases from a supplier.

Prerequisites

  • At least one supplier exists in your system (e.g., a supplier named E2E Test Supplier)
  • At least one item exists in your inventory
1

Open the Purchase Order list

Navigate to Buying > Purchase Order. You should see the Purchase Order list view.
2

Create a new Purchase Order

Click the New button in the top area of the list. The New Purchase Order form will open.
3

Enter the supplier

In the Supplier field, type or select the name of the supplier you are purchasing from.
4

Add items to the order

In the items table, locate the first row and fill in the following details:
  • Enter the item name (e.g., Widget A) in the item text field.
  • Enter the quantity in the quantity number field.
  • Enter the unit rate in the rate number field.
5

Save the Purchase Order

Click the Save button. A confirmation notification will appear to confirm the order has been saved successfully.
6

Submit the Purchase Order

Return to Buying > Purchase Order and click on the purchase order you just created to open it. Click the Submit button to finalize the order. If a confirmation dialog appears, click Submit (or Confirm / Yes) to proceed. The order status will update to Submitted.
Purchase orders start in Draft status after saving. A draft order can still be edited. Once you click Submit, the order is finalized and can no longer be modified.
Make sure to fill in both the quantity and rate for each item row before saving — these fields are required to calculate the order total correctly.
