Creating and Submitting a Purchase Order

This guide walks you through creating a new purchase order for a supplier and submitting it for processing.

Prerequisites

  • At least one supplier exists in your system (e.g., E2E Test Supplier)
  • At least one item exists in your inventory (e.g., Widget A)
1

Open the new Purchase Order form

Navigate to Buying > Purchase Order and click the New button to open a blank purchase order form.
2

Enter the supplier

In the Supplier field, type or select the name of the supplier you are ordering from.
3

Add an item to the order

In the items table, locate the first row and enter the item name in the text field. For example, enter Widget A.
4

Set the quantity

In the same row, enter the desired quantity in the first number field. For example, enter 25.
5

Set the unit price

In the same row, enter the unit price in the last number field. For example, enter 50.
6

Save the purchase order

Click the Save button. A confirmation notification will appear briefly to confirm the record has been saved.
7

Reopen the purchase order

Navigate back to Buying > Purchase Order. In the list, click on the purchase order you just created to open it.
8

Submit the purchase order

Click the Submit button. If a confirmation dialog appears, click Submit, Confirm, or Yes to proceed.
Purchase orders follow a draft-to-submitted lifecycle. A purchase order must be in Draft status before it can be submitted. Once submitted, the status updates to Submitted and the order is locked for editing.
You can verify a successful submission by checking that the status shown on the purchase order reads Submitted.
