Creating and Submitting a Delivery Note

This guide walks you through creating a new delivery note for a customer and submitting it to record the outbound shipment in your stock records.

Prerequisites

  • At least one customer exists in your system
  • At least one item exists in your inventory
  • At least one warehouse is configured in your system
1

Open the new delivery note form

Navigate to Stock > Delivery Note and open a new form by going to /app/stock/delivery-note/new. The page will load along with the available items for selection.
2

Enter the customer

In the Customer field, type the name of the customer for this delivery. For example, enter Test Customer or begin typing to search for an existing customer.
3

Select an item in the line items table

In the first row of the line items table, click the item dropdown (the first combobox in the row). A list of available items will appear — select the item you want to include in this delivery.
4

Select a warehouse

If a Warehouse dropdown appears in the same table row, click it and select the appropriate warehouse from the list. If no options are available, press Escape to dismiss the dropdown and continue.
5

Enter quantity and rate

In the first row of the line items table, fill in the Quantity field (for example, 10) and the Rate field (for example, 50). These fields accept numeric values only.
6

Save the delivery note

Click the Save button. The system will save the delivery note and assign it a unique ID, replacing the /new URL with the record’s permanent address.
7

Open the delivery note from the list

Navigate to Stock > Delivery Note (/app/stock/delivery-note) to view the list of delivery notes. Click the row for the delivery note you just created to open it.
8

Submit the delivery note

Click the Submit button. If a confirmation dialog appears, click Submit, Confirm, or Yes to proceed. Once complete, the delivery note status will update to Submitted.
Delivery notes follow a Draft → Submitted lifecycle. While in Draft status, you can freely edit the document. Once Submitted, the delivery is finalized and stock levels are updated accordingly.
Make sure all required fields — especially Customer, Item, and Quantity — are filled in before clicking Save. Missing required fields will prevent the record from being saved.
