Creating and Submitting a Stock Entry

This guide walks you through creating a new Material Receipt stock entry, adding items with quantity and rate, and submitting the entry to finalize it in your inventory.

Prerequisites

  • At least one warehouse is configured in your system
  • At least one item exists in your inventory
1

Open the new Stock Entry form

Navigate to /app/stock/stock-entry/new or go to Stock > Stock Entry and click the New button to open a blank stock entry form.
2

Select the target warehouse

Click the Warehouse dropdown (the second dropdown on the form) and select the appropriate warehouse from the list. If no options appear, press Escape to dismiss the dropdown and continue.
The Stock Entry Type defaults to Material Receipt. Leave this as-is if you are recording incoming stock.
3

Add an item to the entry

In the items table, click the dropdown in the first row under the Item column. Wait for the list of available items to appear, then select the item you want to add.
4

Enter the quantity

In the same row, find the first number input field and enter the quantity. For example, type 100 for 100 units.
5

Enter the rate

In the same row, find the last number input field and enter the rate (unit cost). For example, type 50 for a rate of 50 per unit.
6

Save the entry

Click the Save button. The system will save the entry and assign it a document ID. The URL will update from /new to reflect the saved record’s ID.
If the URL still ends in /new after saving, check that all required fields — including Item and Warehouse — have been filled in correctly.
7

Locate the saved entry

Navigate to Stock > Stock Entry (or go to /app/stock/stock-entry) to view the list of stock entries. Click on the first row in the table to open the entry you just created.
8

Submit the entry

Click the Submit button. A confirmation dialog will appear — click Submit, Confirm, or Yes to proceed.
9

Confirm submission

Once submitted, the page will display a Submitted status indicator, confirming that the stock entry has been finalized and the inventory has been updated.
Stock entries move through a Draft → Submitted lifecycle. Once submitted, the entry is locked and cannot be edited. To make corrections, you will need to cancel and amend the entry.
You can verify the inventory impact of a submitted stock entry by checking the Stock Ledger report under the Stock module.
