Creating and Submitting a Purchase Receipt

This guide walks you through recording a purchase receipt in the Stock module, from entering supplier and item details to finalizing the document by submitting it.

Prerequisites

  • At least one supplier exists in your system
  • At least one item exists in your inventory
  • At least one warehouse is configured
1

Open the new Purchase Receipt form

Navigate to Stock > Purchase Receipt and click the New button, or go directly to /app/stock/purchase-receipt/new. Wait for the form to fully load before proceeding.
2

Enter the supplier

In the Supplier field, type the name of the supplier (for example, Test Supplier). Select the correct supplier from the dropdown that appears.
3

Select an item in the line items table

In the first row of the items table, click the dropdown in the Item column. Wait for the list of available items to appear, then select the item you want to receive.
4

Select a warehouse

If a Warehouse dropdown appears in the same row, click it and select the destination warehouse from the list. If no options appear, press Escape to dismiss the dropdown and continue.
5

Enter quantity and rate

In the first row of the items table, enter the received quantity in the Qty field (for example, 50), then enter the unit price in the Rate field (for example, 25).
6

Save the Purchase Receipt

Click the Save button. The form will save and the URL will update to reflect the newly created document ID, confirming the record has been saved successfully.
7

Open the saved Purchase Receipt

Navigate to Stock > Purchase Receipt to view the list of purchase receipts. Click the row corresponding to the receipt you just created to open it.
8

Submit the Purchase Receipt

Click the Submit button. If a confirmation dialog appears, click Submit, Confirm, or Yes to proceed. Once complete, the document status will update to Submitted.
Purchase receipts follow a draft-to-submitted lifecycle. While a document is in Draft status, you can still edit its details. Once Submitted, the receipt is finalized and stock levels are updated accordingly.
Make sure all required fields — including Supplier, Item, Qty, and Rate — are filled in before saving. Incomplete records may prevent successful submission.
