Creating and Submitting a Stock Entry

This guide walks you through creating a new stock entry for a material receipt, adding line items, and submitting the entry to finalize it in your inventory.

Prerequisites

  • At least one item exists in your inventory
  • At least one warehouse is configured in your system
1

Open the Stock Entry list

Navigate to Stock > Stock Entry. You should see the Stock Entry list view load on screen.
2

Create a new Stock Entry

Click the New button to open a blank stock entry form. The page title will update to New Stock Entry.
The Stock Entry Type defaults to Material Receipt. Leave this as-is if you are recording incoming stock.
3

Select a target warehouse

In the form header, locate the Warehouse dropdown and select the destination warehouse where the stock will be received. If no options appear, press Escape and verify that warehouses have been configured in your system.
4

Add a line item

In the items table, click the Item dropdown in the first row and select the item you want to receive from the list of options.
5

Enter quantity and rate

In the same row, enter the received quantity in the Qty field and the unit cost in the Rate field.
Make sure both the quantity and rate are filled in before saving, as these are required to calculate the total valuation of the stock entry.
6

Save the Stock Entry

Click the Save button. The system will save the entry and assign it a unique document ID, replacing the New Stock Entry title with the generated name.
7

Submit the Stock Entry

Once you are satisfied with the entry, click the Submit button. If a confirmation dialog appears, click Submit (or Confirm / Yes) to proceed. After submission, the entry status will update to Submitted.
Submitted stock entries are locked for editing. If you need to make changes, you will need to cancel and amend the entry.
You can view all existing stock entries by navigating to Stock > Stock Entry and clicking any row in the list to open it.
