Running a Full Sales Cycle

This guide walks you through the complete sales workflow: creating and submitting a sales invoice, then recording the corresponding payment from your customer.

Prerequisites

  • At least one customer exists in your system (this guide uses “Test Customer”)
  • At least one item exists in your inventory (this guide uses “Widget A”)
1

Open a new Sales Invoice

Navigate to Accounting → Sales Invoice and click New to open a blank invoice form.
2

Enter the customer name

In the Customer field, type the customer’s name (for example, Test Customer).
3

Add an item to the invoice

In the first row of the items table, enter the item name in the text field (for example, Widget A).
4

Set the quantity

In the same row, enter the quantity in the first number field (for example, 5).
5

Set the unit price

Still in the same row, enter the unit price in the last number field (for example, 200).
6

Save the invoice

Click the Save button. The form will save and the URL will update from /new to a permanent document ID, confirming the record has been created.
7

Submit the invoice

Click the Submit button to finalize the invoice. If a confirmation dialog appears, click Submit, Confirm, or Yes to proceed.
Once submitted, the invoice status changes to Submitted and the document becomes read-only. You will see a “submitted” confirmation message on the page.
8

Open a new Payment Entry

Navigate to Accounting → Payment Entry and click New to open a blank payment form.
9

Set the payment type to Receive

Click the payment type dropdown and select Receive. This indicates that you are recording an incoming payment from a customer.
10

Enter the customer name

In the Customer field, type the customer’s name (for example, Test Customer).
11

Enter the payment amount

In the amount field, enter the payment value (for example, 1000).
12

Save the payment entry

Click the Save button. The URL will update from /new to a permanent document ID, confirming the payment record has been saved successfully.
The full sales cycle typically follows three stages: Draft → Submitted (invoice) and then a separate Payment Entry linked to that invoice. Submitting the invoice before creating the payment ensures the records reconcile correctly.
To fully reconcile the payment against the invoice, open the saved Payment Entry and use the Get Outstanding Invoices option to link the payment to the specific submitted invoice.
