Creating and Submitting a Sales Invoice

This guide walks you through creating a new sales invoice, adding line items, and submitting it for approval in the Accounting module.

Prerequisites

  • At least one customer exists in your system
  • At least one item exists in your inventory
1

Open the Sales Invoice list

Navigate to Accounting > Sales Invoice. The page will load a list of all existing sales invoices.
2

Create a new invoice

Click the New button at the top of the list. The New Sales Invoice form will open.
3

Enter customer details

In the Customer field, type the name of the customer you are billing (for example, Test Customer).
4

Add a line item

In the items table, locate the first row and fill in the following fields:
  • Item Name — Enter the name of the product or service (for example, Widget A)
  • Qty — Enter the quantity (for example, 10)
  • Rate — Enter the unit price (for example, 100)
Repeat this step to add additional line items as needed.
5

Save the invoice

Click the Save button. A confirmation notification will appear once the invoice has been saved successfully. The invoice is now in Draft status.
6

Submit the invoice

To finalize the invoice, click the Submit button. If a confirmation dialog appears, click Submit (or Confirm / Yes) to proceed. The invoice status will update to Submitted.
Sales invoices follow a two-stage lifecycle. An invoice must first be Saved as a draft before it can be Submitted. Only submitted invoices are considered finalized and posted to your accounts.
To review or submit a previously saved draft, go to Accounting > Sales Invoice, click on the relevant row in the list, and use the Submit button on the invoice form.
