Creating and Submitting a Journal Entry

This guide walks you through creating a balanced journal entry, saving it as a draft, and submitting it for approval in the Accounting module.

Prerequisites

  • At least one account exists in your chart of accounts
  • You have access to the Accounting module
1

Open the Journal Entry list

Navigate to Accounting > Journal Entry. The page will load a list of all existing journal entries.
2

Create a new journal entry

Click the New button. The New Journal Entry form will open, ready for input.
3

Fill in the first line item

In the first row of the journal entry table, click the account selector (the dropdown in the row) and choose the account you want to debit. Then enter the debit amount in the debit field for that row.
4

Fill in the second line item

In the second row, click the account selector and choose the account you want to credit. Enter the credit amount in the credit field for that row.
5

Save the journal entry

Click the Save button. A confirmation notification will appear once the entry has been saved successfully. The journal entry is now saved in Draft status.
6

Open the saved journal entry

Navigate back to Accounting > Journal Entry. Click on the first row in the table to open the journal entry you just created. Confirm that the status shows Draft.
7

Submit the journal entry

Click the Submit button. If a confirmation dialog appears, click Submit (or Confirm / Yes) to proceed. The journal entry status will update to Submitted.
Journal entries follow a two-stage lifecycle: Draft → Submitted. While in Draft, you can still edit the entry. Once Submitted, the entry is finalized and posted to your accounts.
If you need to reverse a submitted journal entry, look for a Reverse or Cancel option on the entry detail page, depending on your system configuration.
