Creating and Submitting a Sales Invoice
This guide walks you through creating a new sales invoice, adding a line item, saving the draft, and submitting the invoice to finalize it.Prerequisites
- At least one customer exists in your system
- At least one item is available to add as a line item
1
Open the new sales invoice form
Navigate to Accounting → Sales Invoice and click the New button to open a blank sales invoice form.
2
Enter the customer name
In the Customer field, type the name of the customer you are billing (for example, Test Customer).
3
Add a line item
In the first row of the items table, fill in the following fields:
- Item Name — Enter the name of the product or service (for example, Widget A).
- Quantity — Enter the number of units (for example, 10).
- Rate — Enter the unit price (for example, 100).
4
Save the invoice
Click the Save button. A confirmation notification will appear briefly to confirm the invoice has been saved successfully.
5
Return to the sales invoice list
Navigate to Accounting → Sales Invoice to view the list of all sales invoices.
6
Open the saved invoice
Click the invoice row you just created in the table to open it. The invoice status will show as Draft.
7
Submit the invoice
Click the Submit button. If a confirmation dialog appears, click Submit, Confirm, or Yes to proceed.
8
Confirm the invoice is submitted
The invoice status will update to Submitted, indicating it has been finalized and is no longer editable.
Sales invoices follow a two-step lifecycle: Draft and Submitted. While in Draft, you can freely edit the invoice. Once Submitted, the invoice is locked and considered final.
