Processing a Payment Entry

This guide walks you through creating a new payment entry and submitting it to record a received payment in your accounting records.

Prerequisites

  • At least one customer exists in your system
  • The customer has an outstanding balance or transaction to apply the payment against
1

Open the Payment Entry list

Navigate to Accounting > Payment Entry. The Payment Entry list will load, showing all existing payment records.
2

Start a new payment entry

Click the New button at the top of the list. The New Payment Entry form will open, ready for you to fill in the payment details.
3

Select the payment type

Click the Payment Type dropdown and select Receive to record an incoming payment from a customer.
4

Enter the party

In the Party field, type the customer’s name (for example, Test Customer). Select the matching customer from the suggestions that appear.
5

Enter the paid amount

In the Paid Amount field, enter the amount received from the customer (for example, 1000).
6

Save the payment entry

Click the Save button. The record is saved in Draft status and assigned a unique payment entry ID.
7

Submit the payment entry

From the Payment Entry list, click the row for the payment you just created. On the payment detail page, click the Submit button. If a confirmation dialog appears, click Submit (or Confirm / Yes) to finalize the payment.
Payment entries follow a two-stage lifecycle. A Draft entry can still be edited or deleted. Once Submitted, the entry is posted to your accounting ledger and cannot be modified. Always verify the party and amount before submitting.
If you need to record a payment made to a supplier instead, select Pay as the payment type in Step 3 and enter the supplier name in the Party field.
