Creating and Submitting a Payment Entry

This guide walks you through recording a payment received from a customer and submitting it to finalize the transaction in your accounting records.

Prerequisites

  • At least one customer exists in your system
  • You have access to the Accounting module
1

Open the new Payment Entry form

Navigate to /app/accounting/payment-entry/new or go to Accounting > Payment Entry and click the New button. Wait for the form to fully load before proceeding.
2

Set the payment type

Click the Payment Type dropdown and select Receive. This indicates that your business is receiving money from a customer.
3

Enter the customer name

In the Party field, type the name of the customer making the payment — for example, Test Customer. Begin typing to search for an existing customer record.
4

Enter the payment amount

In the Paid Amount field, enter the amount received — for example, 1000. Make sure the value reflects the exact amount being recorded.
5

Save the payment entry

Click the Save button. The form will save and the URL will update to reflect the new record’s ID, confirming it has been created successfully.
6

Locate the saved payment entry

Navigate to Accounting > Payment Entry to view the list of all payment entries. Find and click the row corresponding to the entry you just created to open it.
7

Submit the payment entry

Click the Submit button. If a confirmation dialog appears, click Submit, Confirm, or Yes to proceed. Once complete, the record will display a Submitted status.
Payment entries follow a document lifecycle: they are first saved in Draft status, then finalized by clicking Submit. A submitted payment entry cannot be edited directly — you must cancel it first if corrections are needed.
The Receive payment type is used when recording money coming into your business from a customer. Use Pay when recording outgoing payments to suppliers.
