Creating and Submitting a Journal Entry

This guide walks you through creating a new journal entry with debit and credit lines, saving it as a draft, and submitting it for posting.

Prerequisites

  • At least two accounts exist in your chart of accounts
  • You have access to the Accounting module
1

Open the new journal entry form

Navigate to Accounting > Journal Entry and click the New button. The New Journal Entry form will open.
2

Select an account for the first line

In the first row of the entry table, click the account Dropdown and select the account you want to debit.
3

Enter the debit amount

In the first row, enter 1000 in the debit Number field.
4

Select an account for the second line

In the second row of the entry table, click the account Dropdown and select the account you want to credit.
5

Enter the credit amount

In the second row, enter 1000 in the credit Number field.
6

Save the journal entry

Click the Save button. A confirmation notification will appear briefly to confirm the entry was saved successfully.
7

Reopen the journal entry

Navigate to Accounting > Journal Entry. In the table, click the row for the journal entry you just created to open it.
8

Verify the draft status

Confirm that the journal entry shows a status of Draft before proceeding.
9

Submit the journal entry

Click the Submit button. If a confirmation dialog appears, click Submit, Confirm, or Yes to proceed.
10

Verify the submitted status

The journal entry status will update to Submitted, indicating it has been successfully posted.
Journal entries follow a two-stage lifecycle: Draft and Submitted. Entries in Draft status can still be edited. Once Submitted, the entry is posted and can no longer be modified.
A valid journal entry must be balanced — the total debits must equal the total credits. In this example, both the debit and credit lines are set to 1000 to satisfy this requirement.
